WOLFFLOORZ attaches great importance to the protection of your privacy and the secure processing of your personal data. In this privacy statement, drawn up in accordance with the General Data Protection Regulation (GDPR), you can read how we collect, store and protect your data.

1. Who processes your data?

The 'data controller' for your personal data is WOLFFLOORZ.

Your data is mainly processed internally by our employees. In addition, your data may be passed on to third parties engaged by WOLFFLOORZ for specific services (for example IT support, accounting or logistics partners).

Comprehensive agreements are made with these third parties in a so-called processor agreement. This ensures that they also strictly comply with the GDPR rules.

2. When do we collect your personal data?

As soon as you request, use one of WOLFFLOORZ's services or contact us, we collect and process your personal data.

All information obtained may be used to manage and develop the customer relationship with you (or with the person you represent). In certain cases, WOLFFLOORZ is legally or decree-bound to pass on your personal data to government agencies.

WOLFFLOORZ collects your personal data directly from you, or in exceptional cases through public sources or external partners who already have the data.

3. What personal data do we process?

Depending on your interaction with us, we process the following data:

  • Identification data: Name, address, phone number, email address.
  • Financial data: Bank account number and billing information (if you are a customer).
  • Electronic data: IP address and browsing behavior (via cookies on the website).

4. Why and on what basis do we process your data?

WOLFFLOORZ processes your personal data only in function of its tasks and objectives, based on the following legal grounds (as determined in art. 6 GDPR):

  • Contractual basis: For the execution of the agreement we have with you (e.g. delivery of goods or services).
  • Legal obligation: To comply with administrative, accounting or tax obligations.
  • Legitimate interest: For the proper functioning of our business operations and direct marketing (where we always weigh your privacy interests).
  • Consent: In specific cases (e.g. for sending newsletters without a customer relationship) we explicitly ask for your consent. You can withdraw this consent at any time.

5. Retention period

Your personal data is not kept longer than necessary for the purposes for which it was collected. After that, they are kept as long as the law requires (for example the fiscal retention obligation of 7 years) or until the limitation period of any legal claims has expired.

6. How are your personal data secured?

WOLFFLOORZ takes appropriate technical and organizational measures to secure your personal data against loss, unauthorized access or unwanted disclosure. This includes, among other things, secure servers, firewalls and strict access restrictions for our employees.

7. Are your data transferred outside the European Union?

In principle, your data is stored and processed within the European Economic Area (EEA). If we do use service providers outside the EEA (for example for software or cloud storage), we ensure that there are appropriate safeguards, such as an adequacy decision from the European Commission or standard contractual clauses (SCCs).

8. What are your rights?

In accordance with Belgian and European legislation, you have various rights regarding your data. You can contact WOLFFLOORZ to:

  • Access: Request which data we have about you.
  • Rectification: Have incorrect data corrected.
  • Erasure: Have your data deleted (right to be forgotten), insofar as this is legally possible.
  • Restriction or objection: Object to the processing (e.g. for marketing purposes).
  • Data portability: Request your data in a transferable format to pass it on to another controller.
  • Withdrawal of consent: If the processing is based on consent, you can withdraw it at any time (without affecting previous processing).
  • Lodge a complaint: If you believe that WOLFFLOORZ is not acting in accordance with the legislation, you have the right to lodge a complaint with the Belgian supervisory authority: Data Protection Authority (DPA)

9. Procedure and response period

Do you have a question or request? Then contact us via our contact form or email address.

In principle, you will receive a written response within 30 days of receiving your request. If we refuse or limit your request, we will explain the reasons for this. Depending on the complexity of your request and the number of ongoing requests, this period can legally be extended by two months. We will inform you of this.
